Position Objective:

The Inside Sales & Customer Service Support role is responsible for ensuring exceptional customer experience and seamless internal coordination across the sales and order fulfillment process. This position supports a designated sales territory by managing inbound inquiries, processing orders and quotations, and acting as a key liaison between customers, regional sales teams, and internal departments. The primary goal is to uphold high standards of responsiveness, accuracy, and service while contributing to the overall efficiency and success of the sales operation.

 

Position Responsibilities:

Territory & Customer Support

  • Serve as the primary point of contact for a designated sales territory
  • Respond to inquiries from the Regional Sales team and customers with urgency and accuracy
  • Provide pre- and post-sale support to customers, including product information and issue resolution
  • Assist with customer questionnaires and coordinate timely responses
  • Monitor and follow up on high-priority and aging orders to ensure timely delivery and satisfaction

 

Order Management & Processing

  • Review and vet incoming orders for accuracy (codes, pricing, BOM, commission, etc.)
  • Process vetted sales and sample orders in SAP, ensuring a minimum of two entries per week
  • Manage the full order lifecycle—from quote to shipment—by coordinating with internal teams
  • Run SAP transaction VA05 to verify order accuracy, programming, and invoicing status
  • Track and follow up on sample orders; ensure samples meet quality standards and are returned or invoiced appropriately

 

Quoting & Project Take-Offs

  • Perform lighting take-offs from building/project drawings
  • Create drawing markups using Bluebeam Revu or Adobe
  • Generate formal quotations in Pivotal within 48 hours, including fixture layouts, counts, IDs, and BOMs

 

System & Inbox Management

  • Monitor and manage USA Orders and USA Quotes inboxes; route inquiries to appropriate team folders
  • Prioritize and schedule inbound communications; respond via phone and email in a timely manner
  • Use SAP and other internal systems to pull necessary data (invoices, proformas, tracking info, packing slips, etc.)

 

Reporting & Documentation

  • Review Google ESD reports daily; communicate estimated ship dates as needed
  • Monitor custom order reports (13 & 14); coordinate with Planning and Engineering to ensure timely part numbers and SAP updates
  • Assist with accounting and sales reporting tasks
  • Prepare and run reports for sales meetings

 

Continuous Improvement & Team Support

  • Participate in training for new and current team members
  • Continuously develop product and industry knowledge
  • Support cross-functional collaboration to improve workflow and customer satisfaction

 

Additional Duties as Assigned

Take on ad hoc tasks and responsibilities as needed to support team objectives and company operations. These may vary based on business needs and management direction.

 

Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times

Position Qualifications:

Education & Experience

  • Associate degree or equivalent work experience required
  • 3+ years of experience in customer service, inside sales, or a related role—preferably within the lighting or architectural products industry
  • Previous experience in the architectural lighting industry is highly valued but not required

 

Location Requirement

Must be able to report to the Costa Mesa office daily

 

Technical Skills

  • Proficient in Microsoft Office (Excel, Word), Adobe Acrobat, and Pivotal
  • Strong general PC/computer skills
  • Bonus (not required): Experience with SAP, AGI, AutoCAD, Photometric ToolBox, and Bluebeam Revu

  • Compensation will be commensurate with the candidate’s experience and education, as this role is open to a range of skill levels
