Sales Service Representative

This position is ideal for someone who excels in communication, phone-based customer service, and administrative duties, while seamlessly managing order processing and ensuring smooth office operations. A key aspect of this role is maintaining clear, professional communication with clients and internal teams to facilitate smooth business operations.
Key Responsibilities:
Customer Service & Communication:
- Act as the first point of contact for inbound phone calls and email inquiries, delivering exceptional customer service.
- Screen and direct calls, assist with general inquiries, and resolve customer concerns efficiently.
- Address product questions, provide accurate information, and direct potential customers to the appropriate sales agents.
- Handle customer service requests such as order tracking (ESD), warranty claims, RGA claims, freight damage reports, and sample requests.
- Build positive relationships with customers by demonstrating empathy and active listening, especially when resolving issues.
- Order Entry & Management:
- Accurately input and process customer orders into the system, ensuring all details are correct and orders are completed on time.
- Conduct thorough quality checks to ensure the accuracy of orders and resolve any discrepancies quickly.
- Follow up with customers regarding order status and ensure clear communication throughout the process.
Office Administration:
- Monitor the office email inbox and direct inquiries to the appropriate team members.
- Maintain and manage office documentation, including scanning, filing, and creating production folders.
- Assist in coordinating trade shows, preparing necessary materials, and supporting the sales team in event preparation.
- Provide general administrative support to the office, ensuring smooth daily operations.
- Required Skills & Experience:
- Detail-oriented with proven ability to ensure accuracy in data entry, order processing, and documentation, minimizing errors and ensuring smooth operations.
- Strong written and verbal communication skills.
- Strong problem-solving and conflict resolution skills.
- Excellent organizational skills with the ability to pivot or prioritize tasks in a fast-paced environment
- Proficient in MS Office Suite (Word, Excel, Outlook, etc.).
Qualifications:
Experience:
- 5 years of experience working in a professional office environment.
- Experience working in a professional sales or manufacturing environment.
